Terms of Service

These Terms of Service govern your access to and use of Zentra, an HR management platform operated by Pentabay Softwares ("Pentabay", "we", "us"). By creating an organization account, signing in, or otherwise using Zentra, you agree to be bound by these terms on behalf of yourself and, where applicable, the organization you represent.

Zentra provides employee management, attendance, payroll, document storage, organizational charting, and an AI-powered HR assistant (Zentra Copilot) to help organizations run their HR operations. Features may be added, changed, or retired over time as the platform evolves.

You must provide accurate information when registering an organization and keep your login credentials confidential. You're responsible for all activity that occurs under your account. Organization admins are responsible for the employee accounts they create and the access levels they grant.

You agree not to use Zentra to:

• Upload unlawful, infringing, or fraudulent content, or data you don't have the right to store
• Attempt to bypass encryption, access controls, or audit logging
• Probe, scan, or test the vulnerability of the platform without prior written authorization
• Resell, sublicense, or provide third-party access to the platform without our consent
• Use Zentra Copilot to generate content that violates applicable law or another person's rights

Zentra is 100% free to use, with no credit card required to create an organization. The only paid feature is Zentra Copilot usage credits, consumed when your organization interacts with the AI assistant beyond the included free allowance. Credit pricing and included allowances are shown in your account before any purchase, and every other module of Zentra remains free regardless of Copilot usage.

Your organization retains ownership of the employee and business data you upload to Zentra. We process that data only to operate the service on your behalf, as described in our Privacy Policy. You're responsible for having the right to upload any personal data you enter into Zentra on behalf of your employees.

Zentra's software, design, branding, and Zentra Copilot models and prompts are the property of Pentabay Softwares. These terms don't grant you any ownership in the platform itself - only a license to use it for your organization's internal HR operations.

Zentra relies on a limited set of infrastructure providers to operate - including cloud hosting (OVHcloud, BHS Canada region) and authentication (AWS Cognito). Our use of these providers, and the data they receive, is described in our Security & Trust page.

You may stop using Zentra and close your organization's account at any time. We may suspend or terminate access for accounts that violate these terms, pose a security risk, or where required by law, and will give notice where reasonably possible before doing so.

Zentra is provided "as is." While we maintain encryption, access controls, and audit logging as described in our Security & Trust page, we don't guarantee the service will be uninterrupted or error-free. To the extent permitted by law, Pentabay Softwares is not liable for indirect, incidental, or consequential damages arising from your use of Zentra.

These terms are governed by the laws of Canada, without regard to conflict-of-law principles, given Zentra's infrastructure and data residency in the BHS Canada region.

We'll update the "last updated" date above whenever these terms change, and will notify organization admins directly of any material change before it takes effect.
